Club Treasurer

updated 9th July 2008

It will be the duty of the Treasurer to deposit and pay out any monies of the club as authorized by the committee; to send out notice of dues and receive same.

An annual review of the Treasurer's records will be made at the close of the financial year and a written report submitted to the Club at the AGM

Maintaining the Books

The Committee plans; the President directs; the Secretary records; and after it is all done, the Treasurer answers the question "what happened?" Being able to answer this question not only explains the current financial situation of the club (where the money went) but can also serve to aid in planning and budgeting.

The Club Treasurer

The treasurer is the person who is entrusted with custody of an club's funds. A primary duty of the treasurer is to prepare a full financial report for the annual meeting. This report should be audited or verified by independent persons.

Reconciling and verifying accounts

Every association or club should have a set of documents for the treasurer that clearly delineate the practices and policies to be followed.

The treasurer should also undertake to train an assistant and potential replacements.

Reconciling data from various sources is important. Bank statements should always be reconciled with the journals as soon as feasible and any errors found chased down to their source and corrected.
